Concept

Once you have confirmed that you plan on hosting an event, the immediate first step is to plan your concept. The concept is the glue that brings every detail of your event together. To identify a good concept for your event, think about the ‘why’ and the ‘who’:  What is the purpose of the event, and who do you intend to have in attendance? 

 

This information will help you determine what the event should consist of, including speakers, performances, activities, catering, etc., because it will guide you in making the best decision based on the experience you want to create for your guests. 

 

This step is oftentimes one of the most difficult for people who haven’t planned an event before. When this is the case, we highly recommend hiring an experienced event planner who can guide you through this process.

Coordination

When it comes to event planning, coordination is an essential key to organization! There are so many moving parts and people involved, so it’s important to coordinate every detail so that nothing goes unnoticed. 

 

Once you’ve settled on a specific theme or creative direction for your event, it’s time to coordinate all of the major details including picking a date, finding the right venue, deciding on entertainment, and delegating tasks to everyone who will be supporting you in bringing your event to life.

Control

Unfortunately, there’s no guarantee that every single detail of an event will go as planned, even with the best preparation. Consider everything that can go wrong and create backup plans so that you can be prepared to troubleshoot any issues.

 

Culmination

A.K.A. Event day!

Finally, your event is HERE and everything you’ve culminated is coming to life! But the work isn’t quite over. As we mentioned before, there’s no guarantee that every single detail of your event will go as planned, so it’s essential to appoint someone who will responsible for ensuring keeping everything running smoothly. You’ll likely be far too busy catering to your guests, which is why we recommend that you hire a day-of coordinator who can focus on keeping things on track so that you don’t have to! 

Closeout

Once your event successfully ends, there is still work to be done. You want to make sure that all payments and termination of contracts with the vendors, caterers, speakers, etc. are completed. Be sure to have a list of any loose ends and final arrangements you need to make with the team who helped you bring your event to life. It’s also a great idea to send thank you cards to everyone who was in attendance so they’ll be eager to join you for your next gathering.
